Configuring security controls
Due to ongoing fraud concerns, the 'Security Controls' function assists in limiting additional lost revenue as much as possible. These security controls provide you with the means to restrict/limit certain POS functions.
This document describes the following:
Limiting open checks
This control limits the number of checks an employee can have open at one time; however, a new user role permission allows a supervisor to override the restriction and open an additional check, when needed.
To configure the open check limit:
- Log in to Back Office using Company View (All Stores), or select a specific store.
- Select Employees > Security Controls.
- Select Limit Open Checks to limit the open checks for an employee and expose the Maximum Number of Open Checks setting.
- Enter a value in Maximum Number of Open Checks. The maximum value allowed is 9999. For example, If you configure a maximum of three open checks, when an employee attempts to open a fourth check, an error message appears on the POS preventing the employee from opening the check.
- Click Save to save the changes.
Limiting maximum refund amount
This control limits the maximum refund amount an employee can process in a shift, or for an entire ticket transaction, or both; however, a new user role permission allows a supervisor to override the restriction and process the additional refund.
To configure the maximum refund amount:

Log in to Back Office using Company View (All Stores), or select a specific store.

Select Employees > Security Controls.

Select Limit Max Refund Amount to limit the refund amount for an employee and expose the settings for the Max Ticket Amount, Max Shift Amount, and Both (ticket/shift).

Enter an amount in Max Ticket Amount. For example, If you configure a maximum refund amount of $100, an employee can process a refund to each ticket transaction up to the refund limit of $100. Once the refund exceeds the limit, an error message appears on the POS preventing the employee from performing the refund.

Enter an amount in Max Shift Amount. For example, If you configure a maximum refund amount of $250, an employee can process multiple refunds up to the refund limit of $250 during any open shift. Once the refunds exceed the limit, an error message appears on the POS preventing the employee from performing the refund.

Select Both (Ticket/Shift) to limit the refund amount for both ticket transaction and shift.
Note: If the refund value is set to $0.00 or left blank, employees can perform unlimited refunds.

Click Save to save the changes.
Limiting clear items
This control limits the number of items an employee is allowed to clear; however, a new user role permission allows a supervisor to override the restriction and clear additional items, when needed.
To configure the clear item limit:
- Log in to Back Office using Company View (All Stores), or select a specific store.
- Select Employees > Security Controls.
- Select Clear Items Limit Override to limit the number of items an employee with Clear Items permission can clear and to expose the Maximum Number of Clear Items setting.
- Enter a value in Maximum Number of Clear Items. The maximum value allowed is 9999. For example, If you configure a maximum of 20 items to clear, when an employee attempts to clear the 21st item, an error message appears on the POS preventing the employee from clearing the item.
- Click Save to save the changes.
Limiting delete tickets
This control limits the number of tickets an employee is allowed to delete; however, a new user role permission allows a supervisor to override the restriction and delete additional tickets, when needed.
To configure the delete ticket limit:
- Log in to Back Office using Company View (All Stores), or select a specific store.
- Select Employees > Security Controls.
- Select Delete Tickets Limit Override to limit the number of tickets an employee with Delete Ticket permission can delete and to expose the Maximum Number of Delete Tickets setting.
- Enter a value in Maximum Number of Delete Tickets. The maximum value allowed is 9999. For example, If you configure a maximum of five delete tickets, when an employee attempts to delete a sixth ticket, an error message appears on the POS preventing the employee from deleting the ticket.
- Click Save to save the changes.
