Aloha Smart Manager - Advanced Inventory release notes v1.x

Release notes for the Aloha Smart Manager (ASM) - Advanced Inventory.

Version 1.27

March 23, 2026

  • Resetting an in progress inventory count: Managers can now cancel an in-progress inventory count, which discards all entered data and allows them to start a new count. (ASM–8487)
  • Improving recipe creation: This enhancement improves recipe creation by allowing administrators and managers to quickly choose a sales item name when entering a recipe name. A dropdown list shows the matching sales items to support faster and more accurate naming and reduce manual entry errors. Choosing a suggested item automatically populates the recipe name and creates a corresponding recipe-to-sales item mapping reflected in the Sales item mapping field. This update streamlines configuration ensures consistency between sales items and recipes, and strengthens downstream processes, such as inventory, suggested prep, and reporting accuracy. (ASM–8450)
  • Assigning locations on invoices: Managers can now assign locations to inventoried items on an invoice without the need to configure location assignments for raw items in advance. (ASM–8447)

Version 1.26

February 23, 2026

  • Sending purchase orders using FTP: Restaurant managers can now send purchase orders using file transfer protocol (FTP) and allow for faster and automated order processing. (ASM-9109)

  • Enhancing purchase order generation: Managers can now generate purchase orders with recommended quantities for vendor items based on past sales and demand forecasts. (ASM-8989)

  • Enhancing Advanced Inventory permissions: ASM now provides improved site-level visibility and control for Advanced Inventory. This update ensures secure, role appropriate access across the organization and site levels. (ASM-6621)

    The permission updates include:

Organization Level: Admins have full access.

Site Level: Admins, Above Store Managers, Managers, NCR Support, and Support roles have view-only access.

  • Introducing Top 20 Item Usage report: The Top 20 Item Usage report highlights the twenty highest usage raw items and the ten least used items for a selected timeframe. This helps managers quickly compare actual and theoretical usage in dollars and units and identify the variance between drivers and inventory issues. It improves visibility into usage patterns, impacted costs, and underperforming items, enabling faster root cause analysis and more informed purchasing, costing, and operational decisions with reduced troubleshooting. (ASM-3371)

  • Introducing Low stock levels report: The Inventory Low stock levels report provides restaurant managers with a streamlined view of real-time inventory needs by combining current on-hand quantities, upcoming deliveries, and forecasted usage, by vendor. It helps identify the raw items expected to run short before the next scheduled delivery, based on historical usage patterns and recipe or usage per settings, with quantities shown in the vendor’s defined order units. Only items with a positive shortage value appear, allowing managers to quickly spot actionable gaps, reduce manual guesswork, and make timely, informed purchasing decisions. (ASM–3364)

  • Introducing Perpetual inventory on-hand report: The Perpetual inventory on-hand report provides real-time visibility into inventory quantities by continuously updating stock levels based on purchases, sales, recipe usage, transfers, and adjustments. It replaces manual count-based methods and gives managers an accurate, current picture of your inventory to prevent stock outs, reduce waste, and improve food cost control. The report calculates on-hand quantities using the last saved inventory, transactions, and theoretical usage, and displays item value, days on hand, and usage per trends. Managers can sort, filter, and search the data to quickly identify discrepancies and take corrective action, improving accuracy and supporting smarter operational decisions. (ASM-3363)

Version 1.25

February 2, 2026

New features

  • Enhancing purchase order workflow: Managers can now create purchase orders, email them directly to vendors, and receive vendor acknowledgments upon receipt. (ASM-8059)

Version 1.24

December 15, 2025

ASM v1.24 delivers feature and enhancement updates for the Starter package. The Advanced Inventory package remains unchanged.

Version 1.23

November 17, 2025

  • Introducing usage per factor food costing: ASM now supports usage per factor, a new theoretical food costing method that calculates theoretical usage directly from sales data with no requirement of detailed recipes. Admins can choose either recipe based or usage per factor costing, and managers can view and recalculate usage based on actual sales and inventory over configurable time periods. This makes it easier to identify food cost variances and inventory issues with minimal setup. (ASM-6620)

Version 1.22

October 21, 2025

New features

  • Enhancing recipe lifecycle management: This release introduces powerful new capabilities for managing the entire recipe lifecycle, enabling administrators to ensure accurate food costing, inventory tracking, and audit compliance. (ASM-6619)

    Key Features & Enhancements

    • Recipe Management: Streamlines updates to recipe names, descriptions, makes, units of measure (UoM), and ingredients. Each modification automatically logs an audit trail and recalculates food cost and inventory data to ensure accurate reporting.
    • Recipe Mappings: Easily updates sales item and modifier mappings with alerts that flag downstream impacts on theoretical costing and reporting.
    • Impact Awareness: Prompts admins with a confirmation before recalculations, offering options to apply changes retroactively or from the edit date. Updates automatically reflect in parent recipes and inventory reports.
    • Back/Future Dated Recipes: Enables creation of recipes with past or future effective dates, supporting better planning for substitutions and upcoming events.
    • Recipe Deletion & Deactivation: Allows deletion of recipes only if they are unused and unmapped. Supports deactivation of unmapped recipes, retaining them for reporting and audit purposes.
    • Retention & Audit Logging: Tracks all recipe changes with user details, timestamps, and before/after data. Retains deactivated recipes for up to three years to support audit and reporting needs.
  • Managing recipes as ingredients: This release introduces enhanced functionality for managing recipes as ingredients, enabling more accurate costing, planning, and operational visibility within the ASM Advanced Inventory system. (ASM-4035)

    • Admin controls: Allows admins to define recipes as ingredients, assign default units, and set inventory counting units for accurate tracking.
    • Nested Recipes Support: Supports nesting of recipes up to 5 levels with safeguards against circular references.
    • Recipe Yield & Costing: Enables yield definitions and unit-based costing for precise theoretical calculations.
    • Manager Visibility: Allows managers to view ingredient recipes at the site level for improved operational insight.
    • Visual Indicators: Visually marks recipes used as ingredients to help users identify in-house prepared items and validate nested structures.
  • Introducing global filters for recipe search: This release introduces Global filters on the recipe screen to improve discoverability and streamline the management of large recipe volumes. These filters empower admin users and managers to quickly locate and manage recipes based on key attributes. (ASM-3427)

Users can now filter recipes using key attributes:

    • Recipe Name
    • Recipe ID
    • Yield Amount
    • Recipe Type (Prep or Main)
    • Ingredients
    • Status
    • Contains Prep Item
    • Yield Units

The filters appear in a unified interface, enabling quick and precise recipe management.

    Key Benefits:

    • Improved Search Efficiency: Enables quick narrowing of results from large datasets with precision.
    • User Experience: Allows intuitive filtering through options tailored to specific needs.
    • Operational Productivity: Minimizes time spent locating and managing recipes.

Version 1.21.2

Resolved issues

  • ASM-7588: Resolved latency observed when navigating between Advanced ASM functions.

Version 1.21.1

September 25, 2025

New features

  • Introducing Cost of Goods Sold report: Users with ASM Advanced Inventory can now access the Cost of Goods Sold Report. This report shows the cost and usage of raw items between two inventory counts, helping users track inventory value more effectively. (ASM-6892)

  • Tracking non-sales cash movements with 'Cash Paid In' and 'Paid Out' invoices: Aloha Smart Manager now tracks non-sales cash movements with 'Cash Paid In' and 'Cash Paid Out' invoices. To keep records clear and organized, you assign a specific vendor to your daily entries. This makes tracking easier and improves visibility. (ASM-4040)

  • Setting order and delivery day pairings: Vendors can now set order and delivery day pairings to define expected delivery timelines, based on order days. (ASM-3359)

  • Configuring inventory lists for timeframes and organize raw item locations: Administrators using ASM Advanced Inventory can now configure inventory lists for specific timeframes and organize raw item locations in a logical structure, such as a “shelf-to-sheet” sequence. Managers can configure inventory locations but they do not have access to the inventory list setup. The system provides a default set of inventory lists and locations to get you started. Administrators can assign raw items that contain one or more inventory units to one or more lists and locations. Managers can also choose to show or hide specific inventory units during raw item inventory counting. (ASM-2789)

  • Taking inventory using a smartphone or desktop application: Managers using ASM Advanced Inventory can now take inventory, using either a smartphone or a desktop application. They can quickly enter the actual inventory counts at raw ingredient storage locations, move seamlessly between locations, skip out-of-stock items, and save their progress to resume counting later. (ASM-2619)
